The Online Finding Aids system features an open search function, allowing anyone to browse through the available archival collections freely. This user-friendly search interface enables users to filter and locate archival materials using various criteria such as date, document type, or specific keywords. The open search ensures that relevant information can be found quickly and efficiently, making the platform accessible to both casual users and serious researchers.

However, for reservations of archival materials, users are required to log in. UiTM members can sign in using their institutional accounts, while external users can conveniently sign in via Google. This login process ensures that only registered users can reserve archival materials, which helps maintain the security and integrity of the collections.

The platform has already uploaded 15 distinct types of archival materials, ensuring a wide variety of resources available for different research needs. These materials include:

1. PTJ (Pusat Tanggungjawab) Publications
   Publications from various faculties, research centers, or departments within UiTM, such as journals, annual reports, and research papers.

2. Historical Photographs
   A collection of photographs that capture significant moments in UiTM’s history, as well as notable events in Malaysian history, including academic ceremonies, official visits, and campus activities.

3. UiTM Main Circulars
   Official circulars that provide guidelines, policies, and important notifications to UiTM members.

4. Annual Reports
   Comprehensive reports detailing the yearly achievements of UiTM in areas such as education, research, and institutional governance.

5. Manuscripts
   Original documents related to the institution’s history, including letters, meeting notes, and personal documents from important figures.

6. Maps and Plans
   Archival maps of UiTM campuses, including development plans over the years.

Online Finding Aids significantly improves the research process by offering easy access to a wide range of materials. Researchers, students, and historians can conduct studies more efficiently without the need to physically visit archives. This is especially beneficial for those who need to access essential records or rare historical documents.

Moreover, the online reservation system ensures that researchers can pre-book their materials for in-person visits, ensuring that the documents they need will be available upon their arrival at the archives.
